Remote Online Notary

The Broward County Bar Association is now offering Remote Online Notarization (RON)

As of January 1, 2020, HB 409, “Electronic Legal Documents” was signed into law amending Fla.Stat. 115.05 (pertaining to Notary Publics in Florida). This allows for the State of Florida to participate in Remote Online Notarization (RON). The full online notarization law is provided in Fla.Stat. 117.201 et seq.

Please note that at this time, due to software limitations, we are unable to perform remote notarization of a will, a trust, a health care advance directive, a waiver of spousal rights, or a power of attorney. We apologize for any inconvenience and are working to resolve this. 

Information regarding the process:

  • Online notarization is a MEMBER ONLY benefit,  the price of the service is $15 for the first notarization in a document, and $10 for subsequent notarizations within the same document
  • The Broward County Bar Association utilizes a third-party Remote Online Notarization (RON) online platform called SigniX, which handles the identity verification and video conferencing of the RON transaction, as well as the record-keeping (journal) and storage of same for the legally required amount of time.
  • In order to have a document notarized using Remote Online Notarization, all signers must have:
    • Valid form of photo identification
    • Social Security Number
    • Email address
  • In addition, all signers must have access to:
    • a computer with a working camera, microphone and speakers
    • a mobile phone with the ability to take photos
  • All signers (unless personally known by the notary) will be required undergo an identity verification process prior to the actual signing and notarization.
  • Both the signing of the document(s) to be notarized and the notarization of the signature(s) must be done via video conference.

 

Steps involved in RON through the Broward County Bar Association:

    1. Outline of the RON process
    2. Invoice for the total (with a link to pay online)
    3. PDF attachments of the terms of service that will require consent during the RON process, for review ahead of time
    4. Available dates and times to have the notarization to take place via video conference
  • Your document(s) will be uploaded into the platform and prepared for Remote Online Notarization. MUST BE IN PDF FORMAT
  • PLEASE NOTE: Only completed documents are to be uploaded, leaving the signature(s) to be notarized and the notarial section blank (to be completed during the session). NO CHANGES can be made to a document once it has been prepared for the RON session.
  • Please keep in mind that EACH signer will need a valid form of photo identification, Social Security Number, and email address. In addition, all signers must have access to: a computer with a working camera, microphone and speakers; a mobile phone with the ability to take photos.
  • Once the preparation is complete and the time of the sessions is established, THE SIGNERS will receive two emails: one with a link to join the video session (either right away or at a scheduled time), and one with a link to the document to be signed/notarized. SIGNERS MUST BE IN A VIDEO SESSION BEFORE CLICKING THE LINK TO THE DOCUMENT.
  • Once signers are in the session, the identity verification (if applicable) will begin. This process is separate from the actual signing/notarization of the document(s), and must be passed before RON can take place.
  • After the identity verification is complete, the signer(s) will electronically sign the document(s) in view of the notary.
  • The notary will then sign and stamp the document(s) in view of the signer(s).
  • Once the notarization is complete, the session will end.
  • The signer(s) will receive an email with a link to their completed document(s).
